The incumbent is responsible for coordinating all incoming calls and requests addressed at the Property Reception Counter, handling the check-in and check-out formalities of apartment tenants and following-up in order to ensure tenants' satisfaction. RESPONSIBILITIES: - Handles and coordinates all inquires coming in through the service hotline 4411 and/or face-to-face at the Property Reception Counter in compliance with all policies, procedures and standards. Follows-up promptly to ensure tenants' satisfaction.- Handles and coordiates check-in formalities for incoming tenants according to relevant procedures, including computer reservation, guest registration in conjunction with the Security Department, g-mail check-in notice to various departments, keys with respective hand-over form, welcome amenities such as fruit basket, flowers, tenant card for apartment tenants etc.- Handles various check-out fromalities for departing guests according to relevant procedures, including apartment & mailbox key collection, discount card collection and providing assistance in departure arrangements as may be required by the tenants.- Participates in the selection, training, developing and managing of the performance of Receptionst and Vocational School Trainees under her/his supervision in order to ensure the efficient running of the Property Reception Counter.- Receives, registers, proceeds and follows-up all engineering related maintenance requests and conducts courtesy calls to the respective tenants to verify if the problem has been solved to their satisfaction.- Provides assistance to the tenants in all matters related to their stay, such as the application for a telephone line, the registration of their "Ayis", the application for a bicycle number plates, in order to make their stay most enjoyable. Also gives information and advice on a variety of services such as water dispenser services,newspaper subscriptions and transport arrangements.- Keeps abreast of ongoing and upcoming events in Beijing, in order to be able to provide useful, accurate and up-to-date information to inquiring customers.- Administers to be collected/forward items/parcels according to relevant procedures and keeps accurate record of such. Handles and follows-up on unidentified mail items forwarded by the in-house post office and keeps the in-house post office informed and kept up to date about address changes. Issues package/parcel passes according to stipulated rules and regulations and has them stamped with the Property Office stamp.- Mangaes the apartment keys and keeps detailed record of all transactions, such as the changing of keys and/or locks, the issuance and recollection to/from various apartments, housekeeping department and to/from approved renovation companies.- Accomplishes a set of administrative duties, such as attending meeting, compiling data and submitting various monthly reports, isssuing meal coupons and water tickets for office and apartment tenants and other specific duties related to the job function.- Is in charge of handling all Triton in-house requests from the O&A tenants.- Mineral Water requests should be made through internet by using the relevant website. These requests should be approved by the Manager and the Officer should make sure that our storeroom has enough bottles to satisfy all tenant demands.EDUCATION: Equivalent to high school EXPERIENCE: Minimum of two years guest relation experience MANAGEMENT/LEADERSHIP: - Complaint handle skills- Problem solving TASK ACHIEVEMENT: - Results oriented - Guest satisfaction - Initiative RELATIONSHIP:- Team work/Cooperation- Cross cultural sensitivity - Interpersonal skills- Customer service orientation- PSB register training COMMUNICATION:- Listening and oral skills- Writing skills: Ability to write bi-lingual TECHNICAL COMPETENCIES: - Sound knowleges of property operationsINDIVIDUAL CHARACTERISTICS:- Friendly and efficient - Attentive to details OTHER SKILLS:- Fluency in local language - Sound knowlege in English - Proficiency in Micosoft Office software: Word and Excel
